Role Overview

As a Bid Executive, you will take full ownership of the end-to-end bid process. You will be responsible for managing opportunities from initial identification (RFP/RFI/EOI) through to contract award and renewal. This is a highly networked role requiring a professional who thrives under pressure, meets challenging deadlines, and possesses the commercial acumen to craft winning proposals.

Core Responsibilities

Bid Management & Process

  • End-to-End Ownership: Manage the entire bidding lifecycle, ensuring all internal governance and procedures are strictly followed.

  • Documentation: Expertise in understanding and preparing responses for PQ (Prequalification), TQ (Technical Qualification), and Commercial requirements, including all annexures and formats.

  • Compliance: Manage the preparation of EMD (Earnest Money Deposit), Tender Fees, PBGs (Performance Bank Guarantees), and formal agreements.

  • Submission: Operate various procurement portals and Digital Signature Certificates (DSC) to ensure compliant and on-time bid submissions.

Strategy & Collaboration

  • Stakeholder Management: Coordinate virtual bid teams by engaging with Sales, Pre-Sales, Finance, Legal, and Project Management.

  • Win Strategy: Partner with the Sales lead to develop compelling win themes and value propositions for each unique opportunity.

  • Commercials: Review and prepare the commercial aspects of bids, ensuring all products/services are accurately priced.

Content & Presentation

  • Proposal Writing: Utilize excellent writing skills to draft content, including Executive Summaries and technical responses.

  • Presentations: Coordinate and plan client presentations and handle post-submission queries.

Risk & Post-Bid Analysis

  • Risk Mitigation: Identify and track risks throughout the bid process and review Service Orders (SO) to flag risks post-PO issuance.

  • Continuous Improvement: Lead post-bid reviews to analyze “Wins” and “Losses,” driving improvements in future bidding strategies.

Experience & Requirements

  • Industry Background: 3 to 6 years of solid experience in Bid Management, specifically within an IT Company.

  • Technical Proficiency: Advanced skills in MS Word, Excel, and PowerPoint.

  • Portal Expertise: Proven experience in operating procurement portals and participating in Reverse Auctions.

  • Solution Selling: Familiarity with solution-based selling and the ability to contribute to complex commercial discussions.

  • Soft Skills: Strong people management skills and the ability to work effectively with cross-functional teams under tight deadlines.
